Air Freight Chargeable Weight Mistakes Pakistan Exporters Make
Chargeable weight — not just scale weight — drives air invoices. How Pakistani exporters mis-pack cartons and mis-read quotes before Karachi uplift.
Air freight quotes look simple until the invoice arrives with a higher chargeable weight than the factory scale ticket. For Sialkot samples, Lahore spare parts, and Karachi urgent textiles, the gap is usually packing density and dimensional weight — not a surprise airline conspiracy.
Actual vs Volumetric vs Chargeable
Airlines and forwarders typically charge the greater of:
- Actual weight (scale)
- Volumetric / dimensional weight derived from carton dimensions
Chargeable weight is that greater figure (subject to the tariff rules on your quote). Light, fluffy cartons burn money. Dense, well-planned packing protects the rate you thought you bought.
Worked Example — Sample Cartons
A Sialkot exporter airfreighted samples in oversized cartons with void fill. Scale weight was modest; dimensional weight nearly doubled the chargeable kilos versus a tighter pack. Re-packing into fewer, denser cartons on the next lane cut chargeable weight without changing the product.
Checklist Before You Accept an Air Quote
- Confirm whether the quote is per actual kg, per chargeable kg, or a minimum
- Measure cartons (L×W×H) the way the warehouse will tender them
- Ask how volumetric weight is calculated on that carrier / GSA path (do not invent a factor)
- Separate airport-to-airport from door delivery and destination charges
- For dangerous goods or batteries, confirm acceptance before packing day
Common Mistakes
- Comparing two quotes with different chargeable rules
- Leaving “room to breathe” in cartons that only adds air
- Forgetting that labels and palletization can change dimensions
- Booking air for urgency, then missing document cut-offs so the flight still slips
Packing Design Is a Freight Decision
Factories pack for protection. Air freight also packs for density. Those goals conflict unless someone owns both. For samples, use rigid protection that does not balloon dimensions. For spare parts, avoid single-SKU cartons that ship mostly air. Measure what you will tender — not what the product “could” fit into.
Second Worked Example — Textile Samples to Europe
A Faisalabad team shipped hangers and garments in tall cartons. Dimensional weight crushed the economics versus folding samples into shorter cartons with the buyer’s approval. Product quality unchanged; chargeable kilos dropped.
Quote Comparison Hygiene
When two forwarders quote air:
- Same origin / destination airports
- Same Incoterms / door assumptions
- Same chargeable basis stated in writing
- Same commodity / DG status
- Same validity date
If any line differs, you are not comparing prices — you are comparing stories.
Airport Reality Checks
Uplift depends on acceptance, screening, and document readiness — not only on the booking confirmation PDF. Late MAWB / HAWB data and missing invoices miss flights the same way late SI misses vessels. Build a document owner for air the same way you do for sea.
When Air Is Still Wrong
Air is for calendar value, not ego. If the buyer window can take sea with buffer, do not burn chargeable weight on a soft deadline. Conversely, if a line stoppage costs more than air, stop debating density and book — then improve packing on the next shipment.
Warehouse Tender Photo Habit
Photograph cartons on the scale with dimensions visible before tender. When chargeable weight disputes arise, evidence beats memory. Share photos with the forwarder when the quote was based on different dimensions than what arrived at the GSA.
Train warehouse staff that “ready for air” means measured, labelled, and documented — not only taped shut. A five-minute dimension check before pickup prevents a five-day invoice argument after delivery.
If your commodity is seasonal, re-measure packing every season — last year’s carton standard may not match this year’s insert or hanger. Chargeable weight follows the carton you tender today.
How MTX Helps
MTX coordinates air bookings through licensed cargo channels and helps exporters sanity-check packing against chargeable weight. We will not invent airline dimensional factors. Send carton dimensions with the booking request so the quote matches what you will tender.
